Data Privacy Notice

How the Municipality of San Luis, Aurora collects, uses and protects the information you submit through this system.

What we collect

  • Your e-mail address, name, home address and contact number.
  • The details of your proposed project, including its classification, size, cost and location.
  • The latitude and longitude of the point you mark on the map.
  • The documents you upload as part of your requirements.
  • Technical records such as the date and time of your actions and the IP address used, which are kept for security and auditing.

Why we collect it

  • To receive, screen and evaluate your Locational Clearance application in the Municipal Planning and Development Office.
  • To contact you about the progress of your application.
  • To prepare the Certificate of Zoning Compliance and record the corresponding official receipt.
  • To keep an auditable record of official actions taken on municipal applications.

Who can see it

  • Only authorised personnel of the Municipal Planning and Development Office and the Municipal Zoning Office, who must sign in with their own credentials.
  • Every access to an uploaded document is recorded against the officer who opened it.
  • Applicants can see only their own applications and documents.
  • Information may be shared with other government offices where required by law.

How it is protected

  • Uploaded documents are stored outside the public web directory and can only be retrieved through an authorised, access-checked request.
  • Administrator passwords are stored using strong one-way hashing and are never recoverable in plain text.
  • Sessions expire automatically, and repeated failed sign-in attempts lock the account temporarily.
  • All actions that change an application are permanently recorded in an audit log that ordinary users cannot alter.

How long it is kept

  • Application records, documents and certificates are retained in accordance with the records-retention policies applicable to the municipality.
  • Temporary e-mail verification codes are deleted shortly after they expire.

Your rights

  • Under the Data Privacy Act of 2012 (Republic Act No. 10173) you have the right to be informed about, to access, and to request correction of your personal information.
  • To exercise these rights, or to raise a concern, contact the Municipal Planning and Development Office at the Municipal Hall or by e-mail.
